General
Information:
Alcoholic
Consumption: All exhibitors, their representatives and personnel
are prohibited from consuming any alcoholic beverages while
they are officially on duty at the Show. All exhibitors,
their representatives and personnel are encouraged to conduct
themselves in a professional manner that reflects the image
of the company they represent and the image of the Show.
Any person conducting him or herself in a non-professional
manner will be asked to leave the Show and their company
or supervisor notified. Alcoholic beverages will not be
sold, brought into, or consumed at the Show.
Care of Convention
Center/Exhibit Halls: Nothing
can be posted, tacked, nailed or otherwise attached to
the columns, walls, floors, furniture or other properties
of the Henry B. Gonzalez Convention Center or Freeman.
Cost of repairing any damage will be billed to the responsible
exhibitor. This includes any damage to the carpet provided
in each area.
Carpet: Each area will be carpeted in the official show color
of tuxedo (black and white). Carpet in the Dealer/Manufacturer
exhibit areas will be vacuumed each day during the show.
This service
is
provided by the Auto and Truck Show. All other areas should
contact Freeman.
Vacuuming: Carpet in the Dealer/Manufacturer
exhibit areas will be vacuumed each day during the show.

Drapes: Each Allied Exhibitor booth will be provided with
two-3 wing drapes, and eight-foot back drape. The drapes
will be in the official show color of black. Exhibitors
that require additional drapes for their area should contact
Freeman at 210-227-0341.
Character of Display
Area: Slide or moving pictures, speakers or any other sound
presentations used in connection with any exhibit are encouraged,
however must be tuned to a conversational level as not
to be objectionable to neighboring exhibitors. SAADA reserves
the right to restrict the use of objectionable sound and
lighting.
Credentials: Official Auto & Truck Show lapel pins will be
issued, on a limited base to all exhibitors. This pin will
allow the wearer free admittance to the show. Exhibitors
and all volunteers who do not have an official lapel pin
must register at the "Exhibitor Information" booth.
Replacement lapel pins are $10 each.
Detail
Companies: Any person, firm or corporation contracted by an exhibiting
franchised dealer, manufacturer or exhibit house to be on-site
during the show for the purpose of cleaning and detailing
vehicles, must comply with all insurance and workers compensation
insurance requirements as outlined in the INSURANCE
REQUIREMENTS. All employees must wear a company
uniform or a shirt with the company name on it at all times
in order to gain free admission to the show. Companies that
hire local short-term employees must comply with the insurance
requirements for those employees. Companies hiring local
short-term employees must make arrangements for a designated
location outside of the show. Companies are responsible for
their employees. Anyone that conducts him or herself in a
non-professional manner will be reported to their supervisor.
If a supervisor is not available the employee will be asked
to leave the show until the supervisor can be reached.
Any detail company that contracts
for local temporary employees must use the designated location
for workers to enter the exhibit halls. If a detail company
is not available at the designated location for check-in,
then these temporary employees will not be allowed to enter
the building.
Dress Code: All representatives and employees of the exhibiting
dealer are required to dress in the appropriate manner to
reflect the company they represent and the image of the Show.
Any exhibitor that requires their personnel to wear special
attire or costumes must notify the San Antonio Automobile
Dealers Association, Inc. prior to the opening of the Show
for approval.
Exhibitor
Set Up:
Allied
Exhibitors: All allied exhibitors must arrive at 5:00 p.m., Tuesday,
November 17th to set up their booth. Anyone arriving before
5:00 p.m. will not be allowed in the building due to the
removal of crates and the amount of machinery in the building.
This will be strictly enforced by show security. No exceptions.
If your exhibit contains large
display items, please contact SAADA to arrange special move-in
and move-out assistance.
Please bring your own equipment,
such as dollies, carts, etc. needed to setup and teardown
your booth or make arrangements for rentals with Freeman.
No vehicles are allowed in the exhibit halls or parked on
the loading docks. For their own safety, children are not
allowed during move-in or move-out.
Dealer/Manufacturer: All exhibits and materials must be uncrated and constructed
Monday, November 16th and Tuesday, November 17th from
8:00am until 10:00pm.
Ceiling
heights within Exhibit Halls: "A" is 18-23 feet, "B" is
22 feet, "Bridge Hall" is 20-25 feet and "C"& "D" halls
are 35 feet.
Exhibitor
Tear-Down: Will begin at 8:00 am – 6:00 pm, Monday, November 23rd. The
building must be cleared of all freight crates on this
day. For special move out considerations, contact the
SAADA office prior to Friday, September 18th at 210-732-9647
or terrybeck@saautodealers.com.
Fire
Regulations: All vehicles displaying in the Auto & Truck Show
will are not allowed more than 1/4 tank of fuel. Vehicles
will be checked prior to entering the exhibit halls. Exhibitors
must go to the Freeman desk and list your area as ready for
final inspection. The fire marshal will then inspect the
vehicles for disconnected batteries and taped or locked gas
caps. Once the inspection is completed the fire marshal will
place a compliance sticker on the vehicle. Do
not remove this sticker. An extra set of keys for each
vehicle must be on file in the Auto and Truck Show office
at all times.
Do not leave
the building until vehicles have met all requirements!
Only new (unused) propane
tanks will be allowed.
Freight: The first truck in line will be the first unloaded.
All deliveries to the Convention Center must be made to the
dock located on Bowie St. Drayage for franchised dealers
and manufacturers is included in the square footage cost.
All other exhibitors should contact Freeman if drayage is
needed.

Insurance
Requirements: All exhibitors are required to carry general liability
insurance in the amount of one million dollars ($1,000,000),
in addition to workers compensation insurance. Exhibitors
are also encouraged to carry floater insurance to cover exhibitors
property from loss or damage while it is on display at the
show. The property of any exhibitor is the responsibility
of that exhibitor at all times. Neither the San Antonio Automobile
Dealers Association, Inc., nor the 41st Annual International
Auto & Truck Show assumes any responsibility or liability
for any exhibit or exhibitors property. Each exhibitor must
furnish the San Antonio Automobile Dealers Association, Inc.
with an original copy of the exhibitors general liability
insurance policy naming the San Antonio Automobile Dealers
Association, Inc., and the 41st Annual International Auto & Truck
Show as additional insured. This coverage is for the period
from November 16 through November 23, 2009. The original
certificate must have the exhibitors name, contact person
and title, phone number, and list all franchises/companies
covered by the insurance. In addition to the above insurance
requirement; manufacturers, exhibit houses, detailers and
others must provide the San Antonio Automobile Dealers Association,
Inc. with a list of all companies and subcontractors involved
with the Show, along with proof of insurance and workers
compensation for each company and subcontractor. This information
must be received at the office of the San Antonio Automobile
Dealers Association, Inc., 4414 Centerview, Suite 140, San
Antonio, Texas 78228, on or before September 18, 2009. If
this information is not received with the listing of all
companies involved, then companies and subcontractors will
not be allowed to enter the exhibit halls.
Loading Dock Area: Parking in the loading dock area is strictly prohibited.
This area is reserved for freight trucks and permitted vehicles
only. Any unauthorized vehicle parking in this area will
be towed by SAPD at the owners' expense and liability.

Right to Make Changes: The San Antonio Automobile Dealers Association, Inc.
reserves the right to make any changes, amendments and/or
additions to these rules as it considers advisable for the
proper conduct and success of the Show, with the provision
that all exhibitors be advised of any change. Any matter
not specifically covered, in the official exhibitor contract
or the official exhibitor service kit, are subject to the
decision made by the San Antonio Automobile Dealers Association,
Inc. Any violation of these guidelines and rules may be cause
for immediate termination of the exhibitor’s contract, and
the exhibitor’s right to participate in the Show. Any and
all monies paid by the exhibitor to the San Antonio Automobile
Dealers Association, Inc. shall be retained by said organization.
The San Antonio Automobile Dealers Association, Inc. reserves
the right to refuse the rental, assignment or approval of
any exhibit space whose display of goods or services are
not compatible with the objectives of the Show.
Security Procedures
Exhibitors: All exhibitors must wear the OFFICIAL AUTO & TRUCK
SHOW lapel pin in order to have free access during public
hours of the Show. A photo ID may be required. It is recommended
that all exhibitors check their booths and exhibit areas
on a daily basis for anything unusual, such as boxes or cartons
that don't belong. Contact Security if anything is out of
the ordinary.
Public Visitors: NO LARGE BAGS, BOXES, OR BACK PACKS ALLOWED IN SHOW.
ALL PURSES, CAMERA BAGS AND BRIEF CASES ARE SUBJECT TO INSPECTION.

Show Office: The Auto & Truck Show office will be located in
exhibit hall C, above the escalators.
Signs
and Banners: Signs are allowed to be hung from the ceiling in the
exhibit areas. These banner/signs must be pre-approved by
SAADA before Monday, November 16th. No Dealership signage
or identification is allowed. If materials such as this are
identified in the exhibit area, the exhibitor will be asked
to remove them. If the exhibitor cannot be located, the materials
in question will be removed and the exhibitor will be notified
as to where they can reclaim their property.
Each Allied Exhibitor will
be provided a sign with the name of the company, as indicated
on the contract.
Subletting and/or
Sharing of Exhibit Booth: The
subletting and/or sharing of any exhibit space with a person,
firm or corporation is strictly prohibited and could result
in the cancellation of the exhibitors contract to display
in the Show. This applies to exhibit space whether contracted,
assigned, or courtesy space, without written approval from
the San Antonio Automobile Dealers Association, Inc. Any
requests must be submitted at least thirty (30) days prior
to the show.
Vehicle
Information/Press Kits: To assist the media with their promotions of the show,
dealer/manufacturer information relating to any vehicle
announcements, specialty vehicles or any other prudent
information is needed. Send two copies of each press kit
as soon as possible to the San Antonio Automobile Dealers
Association, Inc., 4414 Centerview Drive, Suite 140, San
Antonio, Texas 78228.

Vehicle Sales Prohibited: Texas law prohibits the selling or offering to sell
any new motor vehicle that is on display at the Show. Texas
law prohibits the display of any used vehicle at the Show
that is offered for sale.
